Managing Your Pool
Step-by-step guide to creating, managing, and joining a credit pool
For Admins
This section covers everything you need to know as a pool admin—from creating your pool to managing members and monitoring usage.
Creating a Pool
To create a credit pool:
- Open the ModelMonkey sidebar in your spreadsheet
- Click the settings menu (gear icon) and select Account
- Click Create Credit Pool
Your pool is created immediately and you can start inviting members. You need an active team subscription (Team Starter, Team Standard, or Team Plus) to create a pool.
Inviting Members via Email
To invite someone by email:
- Go to Account > Credit Pool
- Click Invite Member
- Enter the person's email address and send the invitation
The invited person will receive an email with a link to join your pool. Invitations expire after 7 days. The recipient will need a ModelMonkey account to accept—if they don't have one, they can sign up when they click the link.
Creating Invite Codes
Invite codes let you share a join link without entering individual email addresses. This is useful for larger groups like classrooms or workshops.
To create an invite code:
- Go to Account > Credit Pool
- Click Create Invite Code
- Copy the generated code or link and share it with your group
Anyone with the invite code can join your pool. Invite codes expire after 30 days by default. You can also set a maximum number of uses when creating a code. You can revoke an invite code at any time to prevent new members from joining with that code.
Tip
Invite codes are useful when you want to share access with a group without collecting everyone's email addresses upfront.
Viewing Members
To see who's in your pool:
- Go to Account > Credit Pool
- The member list shows each person's name, email, and their credit usage
You can see how many credits each member has consumed, helping you track usage across your team.
Removing Members
To remove a member from your pool:
- Go to Account > Credit Pool
- Find the member you want to remove
- Click the remove button next to their name
Removed members immediately lose access to pooled credits. They can still use ModelMonkey if they have their own subscription or personal credits.
Monitoring Usage
The Credit Pool page in your Account shows:
- Total pool usage — How many credits have been used from the pool across all members
- Per-member breakdown — Credit consumption for each individual member
- Remaining balance — How many credits are left in your shared balance
Review usage regularly to make sure your credit allocation lasts through your billing cycle. If your team consistently runs out, consider upgrading to a plan with more credits.
Deleting a Pool
To delete your credit pool:
- Go to Account > Credit Pool
- Click Delete Pool
- Confirm the deletion
When you delete a pool:
- All members are notified that the pool has been deleted
- Members lose access to pooled credits immediately
- Your subscription continues — deleting the pool doesn't cancel your subscription
- Members keep their accounts — they just can't use pooled credits anymore
As the pool admin, you cannot leave your own pool—you must delete it instead.
Warning
Deleting a pool is permanent. All members will immediately lose access to shared credits.
For Members
This section covers how to join a pool, use shared credits, and leave a pool as a member.
Accepting Email Invitations
When an admin invites you by email:
- Check your email for the invitation from ModelMonkey
- Click the Join Pool link in the email
- Sign in to your ModelMonkey account (or create one if you don't have one)
- You'll be added to the pool automatically
Once you join, you can start using ModelMonkey with credits from the pool.
Joining via Invite Code
If you received an invite code or link:
- Open the ModelMonkey sidebar in your spreadsheet
- Click the settings menu (gear icon) and select Account
- Click Join Credit Pool
- Enter the invite code and click Join
You'll be added to the pool and can start using shared credits immediately.
Viewing Pool Balance
As a pool member, you can see the shared credit balance in your Account page. The credit display shows that you're using pooled credits and how many are remaining.
Your usage from the pool is also visible, so you can keep track of how many shared credits you've consumed.
Leaving a Pool
To leave a credit pool:
- Go to Account in the ModelMonkey sidebar
- Click Leave Pool
- Confirm that you want to leave
After leaving, you'll no longer have access to the pool's shared credits. You can still use ModelMonkey if you have your own subscription or personal credits.
